Position Summary


Under general supervision by the Director of Facilities, the Receptionist is responsible for receiving calls, clients, vendors, deliveries and directs them to the appropriate individual(s) within the firm. Performs other administrative duties as assigned. Ability to work in a cooperative positive manner with all coworkers, clients, attorneys and nonattorney staff and observes confidentiality in all matters relating to the firm. Professional dress and demeanor.

Responsibilities for Part Time Receptionist


Essential functions are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.
• Receive all incoming calls, clients, vendors, and deliveries and directs them to the appropriate individual(s) within the firm in a prompt, courteous, and hospitable manner.
• Interact congenially with clients, attorneys, paralegals, secretaries, all other staff and other representatives in and outside of the firm.
• Maintains lobby in an orderly manner.
• Responsible for package deliveries; maintain delivery log.
• Reserves and maintains conference room schedule.
• Coordinate meals for meetings.
• Validate parking tickets; maintain parking log.
• Arrange visitor transportation services or taxi, as needed.
• Work with building management to arrange office repairs such as light and ceiling tile replacement and air conditioning/heating problems.
• Other administrative duties as assigned, such as overflow projects and typing/computer work as assigned, including mail outs, burning files to CD's as requested.
• Attend in-house training sessions on computer software, etc.

Qualifications for Part Time Receptionist


Knowledge, Skills and Abilities Required:
• High school diploma required. Approximately three to five years on the job experience is necessary in order to gain an understanding of law office policies and procedures.
• Pleasant telephone voice, friendly and professional demeanor.
• Interpersonal skills necessary in order to communicate in person, by email and telephone to provide information with ordinary courtesy and tact; follows instructions effectively from a diverse group of attorneys and staff, to provide information with ordinary courtesy and tact.
• Ability to read and write English in order to take messages and interpret the nature of incoming calls, write routine reports and correspondence; proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and legal case matters.
• Attention to detail.
• Working knowledge of Microsoft Office, including Word and Outlook; some experience in Excel and Access.
• Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
• Ability to handle interruptions, multiple projects with frequently changing priorities in an efficient manner, rapid turnaround as required, and generally perform in a fast-paced, high-tech environment.
• Maintain a good attendance record.
• Dress professionally.
• Maintain positive and respectful attitude.

Compensation & Benefits for Part Time Receptionist


-Salary : $13-$14/hr
-Hours are 2:00pm to 6:00pm Monday - Friday.
