Position Summary

The Administrative Assistant will work with the entire Marketing Department to assist in executing a broad range of projects and responsibilities that are critical to the daily and regular operations of the department. The position will report to the Chief Marketing Officer.

Responsibilities for Administrative Assistant

Marketing Department Support:
?Responsible for sponsorship execution
?Provide support for ‘Lunch & Learns’
?Monthly report on business development expenses by attorney
?Prepare check requests and mail payments
?Maintain promotional items and other marketing supplies, including keep an inventory of items and reorder as necessary
?Upon pre-approval of CMO, assist with firm client events, including tracking of bounce-back e-mails, preparing RSVP reports, table fillings, and preparation of nametags
?Run and format various CRM reports (activity reports and other on-demand reports) and assisting in contact information updates
?Assistance with Intranet Portal and Social Media postings
?Assistance with attorney bio updates for the Web site and eBrochure
?On-site support with various HR-related activities that require marketing assistance

Business Development Support: 
?Work with Marketing Managers to support firm-wide business development teams, including: assisting with preparation of internal and external marketing materials, maintaining client relationship lists (companies, contacts, and activities), and assisting in client/industry research. Work with Marketing Managers to organize and execute client-responsive documents.

Dallas, Fort Worth, Charlotte Offices Support: 
?Assist with charitable and community involvement/events, including managing sponsorship registration, coordinating materials/logos, and ensuring participation.

Qualifications for Administrative Assistant

?Experience – 3+ years of administrative assistant experience
?Education – BS or BA degree preferred, but not required
?Excellent Communication Skills – Ability to proactively communicate to multiple audiences, including attorneys, clients, potential clients, media, and outside organizations and agencies, both verbally and in writing
?Excellent Writing Skills – Ability to draft and tailor marketing brochures and proposals for client meetings
?Organization – Ability to handle and maintain simultaneous, detail-oriented and deadline-driven tasks
?Computer Skills – Excellent knowledge of Microsoft Word, Excel and Power Point
?Team Player – Ability to excel in a team-oriented, collaborative, and fast-paced environment.
